The College of Fine Arts seeks a proactive, deadline driven, detail-oriented individual that can thrive in an energetic, creative environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:  

 

  1. Maintain Comprehensive Dashboard of all CFA accounts and the requisite financial supporting files.
  2. Coordinate Accounts payable.    
    • Stipends
    • Guest Artists
    • Reimbursements
    • Purchase Orders
    • Invoices
    • Visa Reconciliations
  3. Coordinate Accounts receivable. 
  4. Create MCAA invoices and monitor billing such as deposit and record payments, request paperwork for instructor payment, collection of timesheets. 
  5. Use Outlook Calendars or other software to communicate and remind faculty, staff, and students of upcoming deadlines. 
  6. Assists other College of Fine Arts staff and the Administrative Assistant to the CFA Dean in college and university-wide initiatives. 
  7. Other duties as assigned.

 

WORKLOAD DIVISION

Approximately 50% School of Music, 25% Millikin Community Arts Academy, 10% School of Theatre and Dance, 10% School of Art and Creative Media, and 5% Kirkland Fine Arts Center

 

SUPERVISORY RESPONSIBILITIES: This position does not have supervisory responsibilities in accordance with the organization’s policies and applicable laws.    

 

QUALIFICATIONS: To perform this job successfully, an individual must be able to succeed in a result-driven professional organization. Maintaining professional performance, demeanor, team-approach and focus on results while working under pressure in a dynamic environment. Customer, budget, quality and delivery conscious mindset. Ability to establish priorities, work independently with minimal supervision and facilitate teamwork. Highly organized, with the ability to plan, execute and multitask to meet deadlines with accuracy and attention to detail. 

 

 Minimum Education and/or Experience  

  • High School Diploma required.
  • Fluency in Microsoft Excel and Word Software (Basic training provided)
  • Ability to maintain database and spreadsheet systems on computer software.
  • One to three years’ previous office experience
